Office managers run the office when the boss is away

Being an office manager is a huge responsibility and a full-time job. When you’re an office manager, you run the office when the boss is away. Your duties as such will include most or all of the following examples below.

Answering phones and customer service is a mandatory job duty when the boss is out of the office. He must take calls from clients and potential clients and then schedule appointments or service calls depending on what type of business it is. He will have to deal with happy and unhappy people, as well as calls just wanting information about your business.

Another duty an office manager may be required to perform is accepting payments and giving receipts to people for services they have received. This requires you to be precise with figures and numbers. You will need to make sure that the totals are correct and that the receipts are filled in correctly.

Scheduling service calls and recording the correct information, addresses and locations is also important to your business. If you send your service associate to the wrong location, you have an unhappy customer, and it costs your business time and money. Therefore, you should always get the correct addresses and times noted on service tickets.

You may need to keep inventory and parts records, as well as be in charge of ordering parts for your business. This can be easily tracked by making an inventory list of the items you use in a computer spreadsheet. The computer can help you keep track of used and needed daily supplies.

You may also need to maintain employee time sheets and do weekly payroll. Payroll is a big responsibility and you’ll need to know; how to keep track of hours worked and days off. You may also need to schedule several different employees so that you have enough help to cover the work that needs to be done.

You must know how to do several different jobs when you are an office manager. Other skills that are helpful are filing, bookkeeping, people skills, good organization skills, computer skills, and you should be able to work on your own without assistance while doing all of the above tasks.

These are all parts of an office manager’s responsibility and you will have to do all of these things when your boss is not in the office.
